(3) The dashboard loads no script, font or icon from an external server, so it hosts no third-party tracking or analytics tools.
Article (6) – Cookies. The dashboard uses a single session cookie: a random token stored on the server only as a hash, unreadable by scripts, sent only over encrypted connections, restricted to the office's own domain, and expiring after 12 hours of inactivity, on logout, or on password change via recovery. No advertising or analytics cookies are used.

Article (8) – Third Parties, Data Location and Authority Requests. (1) The Platform uses the parties in Annex (C), chiefly Hostinger for hosting and email – the only one on whose infrastructure Applicant Data is held, encrypted. (2) The server is located in Manchester, United Kingdom; any transfer outside Egypt is governed by Article (20) of the Terms and Articles (14)–(16) PDPL. (3) The Platform discloses data to an Egyptian authority only under a reasoned order of the competent investigative authority per Article (6) of Law No. 175 of 2018 or a Center request within its powers, and to a foreign authority only per Article (32) of the Terms, notifying the Client in both cases unless prohibited.
Article (9) – Applicants' Rights and How They Are Fulfilled. Article (2) PDPL grants Applicants the following rights, exercised against the office as controller; the dashboard gives the office a tool for each:
| Right | Dashboard tool |
| To know, access and obtain a copy of their data | "Deletion & copy requests" with a response-deadline counter |
| To withdraw consent | Recording withdrawal in "Consents" |
| To correct, amend or update | Editing the file by an Authorized User |
| To erasure | "Deletion & copy requests": the file is frozen and matches stop on logging, then the office executes deletion |
| To restrict processing to a defined scope | Freezing the file and stopping matches |
| To be informed of any breach | "Security incidents" section and notification deadline |
| To object where processing conflicts with fundamental rights | Freezing the file pending a decision |
The office verifies the requester's identity before acting and responds within the legal period.
Article (10) – Routing Requests Received by the Platform. Because merely confirming that someone is registered with a marriage office discloses their marital situation, when an Applicant writes to the Platform directly: (1) the Platform neither confirms nor denies that the requester has a file with any office and does not answer the substance; (2) if the requester names the office, the Platform forwards the request to that office Owner's email within two working days and tells the requester it has been forwarded to the office they named; (3) if no office is named, the Platform asks the requester to name it and does not search office dashboards – each is encrypted with its own key, there is no central dashboard, and searching would be processing without controller instructions contrary to Article (5) PDPL; (4) the office responds and executes, with technical help from the Platform under DPA Article (5); (5) if the request reports a minor's file, extortion or fraud, the Platform also applies Articles (12) and (27) of the Terms; (6) the Applicant may complain to the Center if the office does not respond.
Article (11) – Security. The Platform applies the measures in Annex (B), notably a separate encryption key, database and operating-system user per office, and phone numbers shown to staff only for a reason logged in their name. No system is absolutely secure, which is why this Policy includes breach-notification procedures.
Article (12) – Breach Notification. The Platform notifies the affected office within 24 hours of awareness; the office notifies the Center within 72 hours and affected Applicants within three working days of notifying the Center, under Article (7) PDPL and Article (19) of the Terms. If a breach affects only data the Platform controls under Article (4), the Platform itself notifies the Center and the account holders within the same deadlines.
Article (13) – Minors. The Platform is not intended for persons under 18, and offices may not register them for marriage under Article (12) of the Terms. Anyone aware of a minor's data in any office dashboard should report to support@keran.app; the Platform handles such reports as a priority under Article (10)(5).
Article (14) – Amendments. Each material amendment carries a new version number that must be accepted at login, per Article (34) of the Terms.
Part Two: Data Processing Agreement (DPA)
Concluded under Article (5) PDPL between the Client ("Controller") and the Service Provider ("Processor"), effective on acceptance of the Terms of Service.
Article (1) – Subject and Duration. Governs processing of Applicant Data and Controller staff account data described in Annex (A), for the subscription term and until deletion completes under Article (29) of the Terms.
Article (2) – Controller Obligations (Articles 2, 3, 4, 6 and 12 PDPL): (1) define the purpose – matchmaking for marriage – and not extend it to purposes undisclosed to Applicants; (2) obtain consents and licences under Articles (10)–(12) of the Terms and keep the evidence; (3) appoint a Center-registered DPO where a legal person, per Article (8) PDPL, who may hold the dashboard's Compliance Officer role; (4) issue a privacy notice to Applicants per Article (16) of the Terms; (5) notify the Center and Applicants of breaches within legal deadlines and respond to data subject requests; (6) set dashboard retention rules consistent with Article (3) PDPL and execute the deletions the dashboard presents; (7) protect backups and export files it downloads, which leave the Processor's scope once downloaded.
Article (3) – Processor Obligations (Article 5 PDPL): (1) process on the Controller's documented instructions per Article (6) of the Terms, within the defined purpose and duration; (2) not process contrary to the Controller's purpose nor disclose data except per Article (8) of the Privacy Policy; (3) apply and periodically review Annex (B) measures; (4) bind everyone with server administration rights by written confidentiality undertakings; (5) keep a record of processing for each Controller containing the Annex (A) data and provide it to the Center on request; (6) appoint a Center-registered DPO where required by law, under Article (8) PDPL; (7) obtain such licences or permits as the law requires for its processing activity and cross-border transfers under Article (26) PDPL and the Executive Regulations; (8) erase or return data when the purpose ends per Article (29) of the Terms.
Article (4) – Sub-processors. (1) The Controller gives general authorisation to the parties in Annex (C). (2) The Processor notifies the Controller 30 days before adding any new party with access to Applicant Data; the Controller may object on reasonable grounds and, absent agreement, terminate without penalty with a refund for the unused period. (3) The Processor binds any new party with access to Applicant Data to obligations no less protective than this DPA and remains liable to the Controller for its failures. (4) The hosting provider imposes non-negotiable standard terms; data on its server is encrypted at application level, but the Master Key is stored on the same server, so encryption is not an absolute barrier against the provider, and the Processor relies on the provider's contractual commitments.
Article (5) – Assistance with Data Subject Requests. (1) The Processor forwards any request it receives to the Controller within two working days per Article (10) of the Privacy Policy and does not answer the substance. (2) The dashboard lets the Controller execute requests itself; where that is technically impossible, the Processor assists within three working days of a written request.
Article (6) – Breach. Article (19) of the Terms applies. In addition, the Processor preserves the technical evidence of the breach, provides the Controller a summary, and in coordination with the Controller carries out key rotation, session termination or other containment.
Article (7) – Audit and Inspection. (1) Once a year on written request, the Processor provides a written statement of the measures applied and the results of the latest security review, without disclosing anything that affects other offices' security. (2) The Controller may not access the shared server, as that would expose other offices' data. (3) The Processor cooperates with any Center inspection within its legal powers.
Article (8) – Cross-border Transfer and Authority Requests. Articles (20) and (32) of the Terms apply.
Article (9) – Liability and Precedence. Liability is governed by Articles (24) and (25) of the Terms. This DPA prevails over any other text regarding processing of Applicant Data.
Annex (A) – Description of Processing (Record of Processing). Purpose: enabling the Controller to manage and encrypt files of people seeking marriage and document its compliance. Data subjects: Applicants, their guardians, Controller staff. Data: name, phone, national ID, guardian data, confidential notes, documents and photos, meeting minutes, consent record, file stage, dates, payments, matches; for staff: name, email, role, password hash, sessions, Access Log entries. Possible Sensitive Data: religion, health, financial data – subject to Article (11) of the Terms. Operations: encrypted storage, role-based display to Authorized Users, logged reveal, export and backup at the Owner's request, deletion, password-recovery emails to staff. Location: Hostinger virtual private server in Manchester, United Kingdom, with a separate path, operating-system user and encryption key per Controller. Duration: subscription term plus the 120-day post-expiry schedule.
Annex (B) – Technical and Organisational Measures.
- Encryption and keys: a randomly generated 256-bit Master Key, different per office, held in a configuration file the application cannot modify and excluded from the code repository; Data Keys encrypting names, numbers and documents, stored locked by the Master Key so theft of the database alone does not expose data; Data-Key rotation and Re-encryption available to the Owner from the dashboard, recommended every six months, the Master Key not being rotatable from the dashboard; backups encrypted with a passphrase of at least 12 characters, excluding the Platform's email password, with an integrity test that does not touch live data, and stored on the server readable only by the office's own user.
- Isolation: each office has its own application, database and password-less, shell-less operating-system user that writes only to its own data, uploads and backup folders; tests confirmed one office's user cannot open another office's folder or read its key, in both directions; session cookies are host-only, and data-changing requests from another office's domain are rejected.
- Access and identity: three graduated roles, with keys, backups, export, bulk deletion and staff management reserved to the Owner and enforced server-side, not only in the interface; passwords of at least 8 characters hashed with scrypt and a random salt; lockout after 5 failed attempts tied to the real visitor address; 32-byte random session tokens stored only as hashes, expiring after 12 idle hours; temporary passwords must be changed before any other action, with the old one required to stop a session thief taking over; Identity Confirmation before sensitive operations, valid for 10 minutes, with 5 failures ending the session; password recovery by a hashed link valid for one hour and once, limited to 5 requests per hour, with a uniform reply that does not reveal whether an account exists, and all sessions closed after the change.
- Documentation and minimisation: phone numbers masked, reveal requiring a reason logged with the staff name and time; full export logged in the Access Log, not stored on the server, not cached by the browser, and protected against spreadsheet formula injection; imported files barred from matching until consent is recorded (once the feature is complete).
- Network and server: mandatory encrypted connections with a separate, automatically renewed certificate per office; a firewall denying all inbound connections except ports 22, 80 and 443, with the web-server admin panel not exposed to the internet; key-only administrative login; private code repository with a read-only server key and a passphrase-protected write key; security headers preventing framing and referrer leakage, and a content-security policy currently in report-only (non-blocking) mode; office logos limited to PNG, JPEG or WebP up to 1 MB, SVG rejected as it may carry code.
- Measures not yet implemented (disclosure to the Controller): no automated periodic backups, no two-factor authentication for Owner accounts, and no automatic alert to the Owner on backup download or staff addition. This item is updated as any of them is implemented.
